Introduction
TC Time Check Management System is developed based on BTEPS platform and is sharing the same database with other BTEPS application module such as Door Access Management System (DAS), Alarm Monitoring System (MS), Guard Tour System (GT), Visitor Management System (VS), Payment Management System (POS), Human Tracking System (HTS), Meeting Attendance System (MAS). It communicate with CC Command Center via MSMQ message queue. The department user and attendance point information is created by DAS Door Access Management System.
TC Time Check Management System setup consists of time attendance parameters, shift creation, auto shift assignment, annual leave assignment, leave/outstation/overtime registration and auto processing to fulfill staff attendance management and time attendance report. The attendance data source can be filtered from the selected door point.
TC has been one of the important sub system of the BTEPS platform among the one card solution, has been widely used by company time attendance management, truly fulfill a “one card, one database, one data communication line” “One Card Solution” management concept.
Flexible Attendance Rule Setup
The flexible attendance rule setup is able to satisfy different customer attendance processing requirement. Attendance rule include: Allow late clock in, allow early clock out, late clock in time consider as absent, early clock out time consider as absent, clock in time before shift, clock out time after shift, shortest overtime, overtime calculation unit, rest time and shortest clocking period. The system is able to setup attendance rule for different shift.
Different processing parameter can be apply to different leave, outstation and overtime application type. Normal Overtime processing paramter is 1.0 and Rest Day Overtime processing parameter is 2.0. The system is able to process the number of leave day, outstation day and overtime day of different application type.
TC Time Check System support before and after shift auto processing or only valid after overtime application form is filled. At the same time the actual clocking time can be verified against the application form and can be setup the end result to follow which criteria. Able to setup the public holiday date. In the attendance processing, the system will automatically recognize the public holiday as rest day but can assign a overtime shift to these holiday.
Attendance Record
The attendance record of TC Time Check System can either receive from time attendance controller or door access controller. Both the time attendance controller and door access controller is managed from DAS Door Access Management System. User can only clocking on the attendance controller if he/she has been assigned to it and the controller will display the corresponding name and user ID. If not assigned, all the clocking record will be considered as invalid event.
TC Time Check Management System is able to setup which door point entry, exit or both to be considered as valid clocking record as well as those invalid card record.
All attendance record can be display on MS Alarm Monitoring System in real time including user photo and other detail information. If a time controller with video function is used, it will send the actual capture photo to the back end operator to verify to prevent buddy system and enhance attendance management system.
Support Fix and Flexible Shift
TC Time Check Management System support both fix and flexible shift at the same time. Fix shift is referring to staff who strictly follow a fix period to clock in and out, no clocking within these time will be considered as absent. During fix shift, the rule can be defined either based on company define time (e.g. 8 hours) or follow the actual clocking time (e.g. more than 8 hours, the remaining time overtime).
Flexible shift don’t have fix working time, only need to define a starting clock in time and a ending clock out time. User just need to clock within this period will be considered by system as valid attendance. Under flexible shift, option to follow “company define time” or actual clocking time to calculate attendance time can be selected.
A fix shift can define up to 5 intervals and each interval can setup different attendance rule. Depend on the requirement, whether need to clock in or out can be selected. When clocking is not needed, if don’t have clocking record during calculation, the system will still process as normal attendance; if clocking record exist, it will be calculated base on actual clocking time.
Both the fix and flexible shift are able setup absentee calculation during processing as well as cross day for each shift.
Automatic Scheduling Function
Several shift follow a certain order to form a scheduling rule. By assigning scheduling rule to staff is consider as scheduling. If changing of shift is required, manual adjustment on a particular day can be done. During processing, the priority of those manually adjusted shift is higher than those automatic scheduling. The system will automatic assign rest day shift to those public holiday.
TC Time Check Management System allow staff to assign with “2 rotating shift”, “3 rotating shift” or even much more complex auto scheduling, reduce the HR attendance calculation work load.
Annual Leave Assignment and Application
TC Time Check Management System support annual leave managing function, each staff is entitle a certain days of annual leave. Each year, annual leave can only be issued once and those staff who has been issued cannot be issued again. Annual leave can either be registered individually or in batch and can only be operate on the annual leave registration menu. When register annual leave, leave will be deducted from previous year remaining leave first before deducting from current year.
Able to display and print out individual staff number of used and unused annual leave and number of entitle annual leave. Able to clear off those unused annual leave to zero or convert them to overtime days, the converting parameter can be defined by administrator.
Leave, Outstation and Overtime Registration
TC Time Check Management System able to setup leave, outstation, overtime application type and calculation parameter. After the end of processing, the leave, outstation and overtime duration will be the multiplication of the actual time with the calculation parameter.
TC Time Check Management System has the following method to apply leave registration:
(1) Before shift: Leave application before certain shift interval for one or a few days.
(2) After shift: Leave application after certain shift interval for one or a few days.
(3) By interval: Leave application of a certain interval for one or a few days.
(4) Within interval time: Leave application of a fix time within a certain interval for one or a few days.
(5) By day: Leave application for one or a few full days.
(6) By system setup, an option to select the final processing result of before or after shift is based on leave registration or the actual leave clocking time.
TC Time Check Management System has the following method to apply overtime registration:
(1) Before and after shift. By system setup, an option to select the final processing result is based on overtime registration or the actual overtime clocking time
(2) On rest day. Assign an overtime shift and type on a particular day. Rest day overtime can only be applied on rest day and day which has been assigned with fix or flexible shift is not allow.
Abnormal Attendance Handling
TC Time Check Management System provide abnormal attendance handling function. When those absentee has been listed down after processing, they are able to confirm the reason for absent, verify whether they are in the correct shift and the corresponding clocking record. After confirmation, an abnormal attendance can be resolved by manually fill up a clocking record. When an abnormal record is selected, the system is able to display the current and next day attendance record for easy verification. All abnormal record can be query and print out by date and time.
Attendance Processing Report
Powerful attendance processing report is one of the outstanding feature in TC Time Check Management System. Beside daily report, monthly report, unprocess report and other type of summary report, administrator also has the option to define display and printable field. All report are able to export to Excel format.
The first and last record report provides the user earliest clock in and latest clock out time of a particular day and automatically calculate the daily attendance time. The calculation rule include round off or carry forward, the minimum time unit and decimal point.
Attendance report provide the following report category: Leave, Outstation, Overtime, Late, Early and Absent summary reports.
